Who we are
Closre Studios (Pty) Ltd (registration number 2026/311616/07) is a South African company that designs and builds websites, business systems and AI integrations. We work remotely and are based in Cape Town.
For the purposes of the Protection of Personal Information Act, 2013 (POPIA), we are the responsible party for the personal information described in this policy. Our Information Officer is Rush Neethling, and you can reach him at admin@closrestudios.com.
What this policy covers
This policy applies when you visit closrestudios.com, contact us by email or WhatsApp, book a process audit, or become a client.
Information we collect
We only collect what we need. That usually means:
Contact details you give us, such as your name, email address, phone number and company name.
Anything you tell us in a message, including details about your business, your project and how you work.
Information we need to deliver and invoice our work, such as billing details and records of what we agreed.
Basic, anonymous website statistics, such as which pages are visited, the type of device used and the approximate country. These cannot be used to identify you.
When we build or run a system for a client, that system may hold information about the client’s own customers. In that case we process it on the client’s behalf, only for the work we have been asked to do, and under the terms we agree with that client.
How we use your information
To reply to your enquiry and give you a quote or a process audit.
To deliver, support and invoice the work you hire us for.
To keep proper business, tax and accounting records.
To understand how our website is used so we can improve it.
To send you updates about our services, but only if you have agreed to this. You can opt out at any time.
We do not sell your personal information, and we do not share it with anyone for their own marketing.
We only use your information where POPIA allows it: with your consent, to carry out a contract with you or take steps towards one, to meet a legal obligation, or where we have a legitimate interest that does not override your rights.
Who we share it with
We use trusted service providers to run our business. They only get the information they need to provide their service to us, and they must keep it secure and confidential. They include:
Google Workspace, for email, calendars and documents.
WhatsApp (Meta), if you choose to message us there.
Framer, which hosts this website.
Bookipi, for quotes and invoices.
Cloud hosting and database providers such as Supabase and Vercel, which we use to build and run client systems.
We may also share information with our professional advisers, such as accountants and lawyers, or with authorities when the law requires it.
Information stored outside South Africa
Some of our service providers store information on servers outside South Africa. When this happens, we only use providers that are bound by laws, binding rules or agreements that give your information a level of protection similar to POPIA, as section 72 of POPIA requires.
How we keep it safe
We take reasonable technical and organisational steps to protect your information against loss, misuse and unauthorised access. These include access controls, two-step sign-in on the accounts that hold your information, encrypted connections, and limiting access to the people who need it.
If we ever become aware of a security breach that affects your personal information, we will let you and the Information Regulator know as POPIA requires.
How long we keep it
We keep personal information only for as long as we need it for the reasons above. Records we must keep by law, such as invoices and tax records, are kept for the period the law requires, which is generally five years. When we no longer need information, we delete it or make it anonymous.
Cookies
This website does not use advertising or tracking cookies. Our website statistics are collected without cookies and without identifying you, so you will not see a cookie banner here.
Your rights
Under POPIA you have the right to:
Ask whether we hold personal information about you, and ask for a copy of it.
Ask us to correct information that is wrong or out of date.
Ask us to delete information we no longer have a reason to keep.
Object to us using your information, including for direct marketing.
Withdraw any consent you have given us.
To use any of these rights, email admin@closrestudios.com. We will respond within a reasonable time and may need to confirm who you are first.
If you are unhappy with how we have handled your information, please talk to us first. You also have the right to lodge a complaint with the Information Regulator of South Africa at www.inforegulator.org.za.
Children
Our website and services are meant for businesses and adults. We do not knowingly collect personal information from children under 18.
Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated at the top.
